PRIMARY PURPOSE OF THIS POSITION:
• The primary purpose of this position is to provide requisite administrative/clerical support and specialized clerical skills to ensure efficient and effective operations. Changes and/or additional hours must be approved by director. The schedule is designed to meet program and consumer needs.

WORK SCHEDULE: The normal work schedule for this position is a 37.5 hour work week. The start time is at 8:30 AM to 5:00 PM Monday through Wednesday and until 8:30 PM on Thursdays. Overtime may be required. Hours may change depending on the needs of the organization. An occasional Friday may be necessary.

DESCRIPTION OF ESSENTIAL RESPONSIBILITIES AND DUTIES:
• Responds to electronic door buzzer, screens and greets consumers, auditors, probation officers, other professionals and visitors and directs them appropriately.
• Performs receptionist duties. Directs phone calls, takes messages in a professional manner.
• Gathers and organizes information from consumers at intake, performs orientation for clients entering the DAOP/IOP programs, completes pertinent releases and consents at time of intake, organizes consumer record, and explains consumer rights, grievance process and program rules and requirements during orientation and at the intake appointment.
• Completes accurate liability determinations for consumers entering DAOP/IOP Programs, including updates annually or when financial/insurance information changes.
• Keeps record of all openings and closings. Makes follow-up calls/sends follow-up letters.
• Performs outpatient site medical record functions, including, but not limited to, creating/reactivating medical records, sorting medical record documentation, filing medical record documentation and maintaining medical records, deficiency monitoring, coordinating requests/returns between centralized medical record storage/treatment sites, pulling and re-filing medical records.
• Writes, proofs, faxes correspondence as needed. Provides clerical support to clinical staff.
• Completes and submits staff development requests and requisitions. Distributes and collects staff development evaluations. Keeps files and calculates training hours for South Side staff for each training year
• Maintain the Outpatient Program Manual current with policies and procedures.
• Participate in state and county audits by providing clerical support.
• Orders supplies for the South Side Site including business cards, paper products, supplies from Quest Diagnostics, necessary for a smooth operation.
• Completes and submits requisitions. Completes and submits work orders to maintenance.

Qualifications

Required Minimum Training:
High School diploma or GED, Business school and/or 2 years secretarial/administrative experience, basic computer knowledge.
